UNDERTAKING FOR PLACING BOOKS ORDER
FOR SETTING UP OF BOOKSTALL
1. I declare and certify that I am above 18 (Eighteen) years of age and of sound mind and I meet all the eligibility criteria and have submitted all requisite documents[1] to PrashantAdvait Foundation (“PAF”) for setting up the Bookstalls within India.
2. I fully understand and agree that my permission for setting up Bookstall is subject to periodical review/inspections/assessments/verifications by PAF of the work carried out by me at the Bookstall from time to time and I declare to fully cooperate with PAF during such review/inspections/assessments/verifications as and when requested and scheduled by PAF.
3. I along with others have set up a legally recognized entity under the relevant law of the India, i.e registered Proprietorship concerned of __________/Firm/Company/Trust/Society or any other legally recognized entity by the name of _______________, that legal entity will be engaged in the activity of selling /donating/ distributing of the books and for the said purpose I/we have setup a store/stall at ________________.
4. I represent and warrant that I/We have set up a legally recognized entity by the name of _______________, and we are entitled to all necessary acts under this Undertaking. I represent that neither me nor _______________[LEGAL ENTITY] are expressly and impliedly barred from doing any activity as contemplated under this undertaking given by me.
5. I represent and warrant that the present undertaking as given by me will be binding upon me as well as the a legally recognized entity by the name of _______________ and I have the necessary authorization to provide this undertaking on behalf of the _______________ and I am the _____________[DESIGNATION] OF _______________ [ENTITY’S NAME].
6. I represent and warrant that wherever in the undertaking I have given my personal undertaking that would include the undertaking on behalf of _______________ [ENTITY’S NAME].
7. I fully understand and agree that upon placing the order for books (published by PAF) through manual mode [in rare circumstances] for setting up the bookstall, I will make the contribution (including necessary applicable taxes of India) to PAF within 3 working days from the date of receipt of invoice. I hereby fully understand that the order placed for books cannot be cancelled once the contribution has been duly received by PAF.
8. I fully understand and agree that the order for books will be processed by PAF only after the contribution amount has been received in full by PAF.
9. I understand and agree that the order of books will be dispatched within 7-10 days after the receipt of the entire contribution amount. I understand and agree that after the dispatch, due to logistical reasons including the time taken by the delivery partners and other constraints it may take 15 days to get the Books delivered at the location provided by me. I also understand that due to unforeseen circumstances, it may take more than 15 days to get the Books delivered and I will not hold PAF liable in any manner whatsoever or claim partially or fully for any refund from the contribution made by me to the Foundation.
10. I understand and agree that in exceptional cases, some of the books placed for order may be unavailable at the time of final dispatch [in rare circumstances]. I understand and agree and provide my consent that PAF may replace the unavailable books with other available books of equal value and quantity in the final order at the time of final dispatch.
11. I fully understand and agree that the books are provided by PAF at the minimum possible amount for the benefit and welfare of the public at large. I hereby declare that the books will be sold at a reasonable price, which in no circumstances shall exceed the book MRP.
12. I hereby agree and declare that I will purchase books of the PAF only through my official B2B online account (meant for the purpose of ordering books for bookstalls) or through official distributors (as and when communicated by PAF), and in no circumstances will I purchase books from the PAF website or any other available medium, apart from those stated above.
13. I fully understand that the profits received by me from the distribution/sale of books at the book stall shall not be claimed by PAF at any time whatsoever.
14. I fully understand and declare that I will sell Books only at the designated physical location of the Bookstalls and at no point of time I shall sell these books through any online medium whatsoever directly/indirectly.
15. I hereby agree and declare that I will obtain all necessary permissions from local authorities/agencies for setting up Bookstalls. I agree and declare that I will sensibly choose the location for setting up the Bookstall. I agree and declare that while choosing a location for Bookstall I will avoid sensitive areas, especially but not limited to religious places, places which are Communally charged, sensitive places, and during religious events or any place where local resistance is anticipated. I agree and declare that I will not set up the Bookstall at religious congregations which are likely to be vulnerable to riots, violence. I agree and declare that I shall not in any circumstances whatsoever hold rallies/marches/processions in public places in the name of PAF or Acharya Prashant.
16. I understand that a team of volunteers may be needed for managing the Bookstall by me. I agree and declare that I will forward the list of volunteers, who wish to engage, for necessary background verification from PAF, for each such volunteer shortlisted by me. I declare that only once the background verification for each volunteer has been done by PAF and inputs have been shared with me, then only I will actively/passively involve the volunteers with good background verification at the Bookstall. I understand and agree that notwithstanding anything stated here and above, I shall be solely responsible for all acts and actions of the volunteers who are working on behalf of me at the Bookstall, and I shall not hold PAF responsible for any actions/inactions of such volunteers. I also understand that any act done by the volunteers will be in their individual capacity and any consequences of the actions of the volunteers and/or our actions will be on volunteers and/or on us, and the PAF will not be liable in any way for those actions and consequences.
17. I declare that I will treat all the volunteers at the Bookstall respectfully and treat them commensurate to their contribution at the Bookstall.
18. I agree and declare that I shall not be directly or indirectly involved in any print media/mass media/social media or hold or give any interviews which in any manner represent my affiliation/association directly or indirectly with PAF/Acharya Prashant.
19. I fully understand and agree that the responsibility of setting up the bookstall, managing the stock of books, and arranging all other logistics shall be fully mine and I declare that I will not hold PAF responsible for making any arrangements or managing the logistics for the bookstall setup.
20. I hereby understand and fully declare that all the expenses involved in setting up the bookstall and other related expenses shall be my responsibility and shall be fully borne by me.
21. I hereby understand and agree that any grievances regarding damaged or deficient books are required to be reported by me via email at books.outreach@advait.org.in within 24 hours of receipt of the damaged or deficient shipment, along with the relevant proof annexed in the email. The PAF will correlate all the data available with PAF about the said supply including the data from the warehouse and delivery partner to take the final decision about the issue. I declare that I understand and agree that PAF’s decision in this regard shall be final and binding.
22. I fully understand and declare that all the books, catalogues, pamphlets, e-books, posters, banners, flyers, or any other materials provided by PAF or in the name of PAF/Acharya Prashant are the Intellectual Property of the PAF that I will not create, alter, reproduce, or misuse any intellectual property, including books, catalogues, pamphlets, e-books, posters, banners, flyers, or any other materials provided by PAF or in the name of PAF/Acharya Prashant. Hence, I agree and declare that I will not violate any of the Intellectual Property of the PAF/ Acharya Prashant that includes the declaration that the Books provided to me will be kept under safe custody and not allowed to be copied further including in any manner of form including the electronic medium[3] . I also represent and warrant that I/we will ensure that any of my/our employee/representatives etc. will not violate any of the Intellectual Property of the PAF/ ACHARYA PRASHANT.
23. I fully understand and declare that I take full responsibility for use of approved canopy/banners/posters/standee/pamphlet/flyer/other marketing materials at my Bookstall. I understand that PAF shall try to verify every canopy/banners/posters/standee/pamphlet/flyer/other marketing material used at the Bookstall to the best of their ability. However, I agree that the verified/approved materials are used by me at the Bookstall at my own discretion and using my own good understanding of the location, sensibilities of the local population and all other considerable factors. PAF is not responsible for any consequences arising from use of such canopy/banners/posters/standee/pamphlet/flyer/other marketing materials. I fully understand the use of the PAF’s approved canopy/banners/posters/standee/pamphlet/flyer/other marketing materials is entirely at my own discretion.
24. I also fully understand and declare that I will not use the books other than the Books provided by the PAF, at the Store/Stall setup under this undertaking where either of the canopy/banners/posters/standee/pamphlet/flyer/other marketing materials provided by the PAF is used without explicit permission from PAF (as and when provided)
25. I fully understand and declare that I will not create or operate any WhatsApp group/social media account/ YouTube channel/ twitter handle etc., in the name of PAF/Acharya Prashant, in full or in part. I fully understand and declare that I will not violate the Intellectual Property rights of the PAF/ Acharya Prashant from any social media account in any form or manner.[4] I also warrant and represent that I/we might be required to create WhatsApp group for the purpose of logistical reasons to smoothly do the work with regards to the running of Stall/store. I also warrant and represent that WhatsApp group will only have me [person signing the undertaking] and the PAF verified volunteers and the same will not be used for the purpose of self-promotion. I also warrant and represent that List of Do’s and Don’ts provided by the PAF will have to be adhered to by the members for communication in the group.
26. I fully understand and declare that the permission to set up bookstalls does not establish an Agency, Employment, Partnership relationship nor create any fiduciary relationship for any purpose whatsoever between me and PAF. I agree and declare that I will not assume any obligations or responsibility on behalf of PAF except as may be, from time to time, agreed upon in writing between me and PAF or as otherwise expressly provided.
27. I agree and declare that I will not misuse the name, photo, symbol, mannerism etc. of the PAF/ Acharya Prashant.
28. I agree and declare that I will not create any WhatsApp group relating to PAF/ Acharya Prashant and/or for the purpose of setting up bookstall without taking prior permission from the Foundation.[6]
29. I undertake that any communication via WhatsApp, SMS, email, phone call or any other informal medium shall not be considered as official consent or approval from PrashantAdvait Foundation (PAF). I acknowledge that any permissions, authorizations, or agreements shall only be valid if issued in writing on official letterhead or communicated through an authorized representative of PAF via official channels.
30. I hereby explicitly acknowledge and declare that I will not approach institutions, organizations, or individuals for setup of Bookstalls claiming affiliation or association with PAF or Acharya Prashant in any capacity whatsoever without seeking prior permission in writing. I undertake to take prior permission from the PAF before approaching them. I undertake and declare to connect the institution/ college/ society etc. to PAF for the purpose of putting the books of Acharya Prashant in their institution/ college/ society etc. and PAF shall in its sole discretion to accept or reject the proposal of keeping the books of Acharya Prashant in their institution/ college/ society etc. I also acknowledge and declare that I will not engage in donating the books, images, quotes, videos, or other intellectual property in any public event without the prior permission of the PAF.
31. I understand that due to circumstances of force majeure, i.e. events beyond control, including, but not limited to war or threat of war, terrorist activities, political instabilities, riots, civil war, industrial conflicts, strike, demonstrations, lockout, lockdown, natural or nuclear disasters, evacuation, closing of airports, technical problems or transportation accidents, acts or decrees of the government, fire, casualty, flood, earthquake, epidemic, pandemic, destruction of its facilities, insurrection, materials unavailability, or any other cause(s) beyond the reasonable control of PAF and as a result thereof if I have suffered any loss or damage of any kind whatsoever including bodily injury, I will not hold PAF liable for any losses or damages incurred by me or my associates/affiliates in that regard.
32. I declare that in no event, PAF or its members shall be liable for any loss or damages of any kind or character including bodily or mental injury caused to me occasioned due to the setup of Bookstalls by me.
33. I fully understand and declare that I am sole/principle/one of the decision makers of the Bookstall and have agreed to set up Bookstall with complete knowledge of all the rules and regulations. I fully understand and declare that PAF cannot in any way be held responsible for any mental or physical harm caused due to the setup of Bookstall by me under any circumstances.
34. I declare that I have read and understood and agree to abide by all the rules, regulations, eligibility criteria formulated for setting up the Bookstall, which are part of this undertaking and are annexed herewith.
35. I acknowledge and agree that PrashantAdvait Foundation (PAF) reserves the right to revise, amend, or update the terms of this undertaking including the annexures at its sole discretion. In the event of any such revision, I undertake to review, sign, and adhere to the updated terms as a condition for the continuation of my permission to set up a bookstall. Failure or refusal to comply with the revised undertaking/annexures shall entitle PAF to suspend, terminate, or cancel my authorization and account, and to cease providing books with immediate effect, without any obligation to provide prior notice or justification.
36. I undertake to indemnify and keep PAF/Acharya Prashant indemnified always against any actions, claims, complaints, liability, suits, notices, loss etc. occasioned due to my setup of Bookstall and/or during the functioning of the Bookstall, including Social Media activities of bookstalls and its participants or breach of any the terms of the declaration. I also undertake to indemnify and keep PAF/ Acharya Prashant indemnified against any part of tax liability which I am required to pay to any authority including but not limited to any GST payment which I am liable to pay. I also undertake to indemnify and keep PAF indemnified always against any improper declaration to the authorities, which leads to any notice/liability on PAF/ Acharya Prashant.
I undertake to indemnify and keep PAF/ Acharya Prashant indemnified always against any actions, claims, complaints, liability, suits, notices, loss etc. occasioned due to my setup of Bookstall or breach of any the terms of the declaration which have led to the use of the name of PAF/Acharya Prashant on any platforms including but not limited to mass media/social media/print media.
37. I represent and warrant that I will act as per the guidelines/directions provided by the Foundation members at the time of briefing or otherwise and any non-adherence to the said guidelines/directions can lead to immediate termination/cancelation of permission to setup bookstall. However, the PAF at its sole discretion depending upon the nature of non-adherence, allow us the opportunity to defend ourselves and may suspend the permission to sell the books till the final decision. The decision of the PAF in this regard will be final and binding. During the period of suspension all the activities in terms of the present undertaking w.r.t. to the books supplied by the PAF should be immediately stopped till the final decision is made by the PAF. During the period of suspension, the official online B2B account for purchase of books will be deactivated and purchases of Books through any other online and offline mode should be immediately stopped on receipt of email of suspension.
38. I declare that if I am found violating the above declaration or the information provided by me is found to be incorrect, suspend my account till final decision/block the account/ cancel my order of Books at any stage in the order processing, without according any reason whatsoever.[7] However, the PAF at its sole discretion depending upon the nature of incorrect information/wrong allow us the opportunity to defend ourselves. The decision of the PAF in this regard will be final and binding.. Furthermore, I declare that if I am found violating any of the above terms, engaging in any indecent, inappropriate, or threatening behaviour towards PAF members or representatives, or if any information provided by me is found to be incorrect or misleading, PAF shall have the sole discretion to immediately suspend my account till final decision/block the account/ cancel or terminate my permission to set up a bookstall at any location, without providing any reason. PAF also reserves the right to stop further supply of books and, if deemed necessary, recall books already provided. However, the PAF at its sole discretion, depending upon the nature of incorrect information/wrong, allows us the opportunity to defend ourselves. The decision of the PAF in this regard will be final and binding. During the period of suspension all the activities in terms of the present undertaking w.r.t. to the books supplied by the PAF should be immediately stopped till the final decision is made by the PAF. During the period of suspension, online B2B account for purchase of books will be deactivated and purchases of Books through any other online and offline mode should be immediately stopped on receipt of email of suspension.
39. I declare and certify that present undertaking is only valid for the period of 11 months and effective from Effective Date, i.e. when the all the documents have been provided by the Books Seller and all the documents have been accepted and approved by the PAF through email or from the date when the Books seller started selling the books whichever is earlier and after the expiry of the 11 months PAF at its own discretion may provide us with the current or any new undertaking and only in case the same is accepted by us, then we can continue to sell the books of the PAF at the Bookstall. In case the new undertaking could be not be signed by us after the expiry of 11 months, then we will immediately stop the operations at the bookstall after selling the remaining books within the grace period provided by the PAF and PAF at its own discretion might ask us to return the remaining books supplied to us by the PAF at the price at which they were supplied to us by the PAF. If the PAF ask for the return of the books then the same should be returned immediately and in any case within 15 days.
Arbitration clause
I agree that I and PAF shall use all reasonable efforts to resolve between themselves any disputes, controversy or claim arising out of or relating to this undertaking, our relationship, other than a dispute, the resolution of which is specifically provided for in this undertaking. If I and PAF fail to resolve the matter through mutual agreement within 15 days, the dispute shall be resolved through arbitration conducted by a sole arbitrator under the provisions of Arbitration and Conciliation Act, 1996 to appointed by I/we and PAF. If I/we and PAF will not be able to agree to the name of the sole arbitrator, then I/we and PAF can approach the appropriate court for the appointment of the Sole arbitrator in terms of the Arbitration and Conciliation Act, 1996. The decision of the arbitrator shall be final and binding upon the parties. Venue of the arbitration will be Gautam Buddh Nagar, Uttar Pradesh and the language shall be English.

Set-up of Bookstalls with Acharya Prashant Books – Guidelines
Namaste,
Please be advised that all bookstalls must be registered with PrashantAdvait Foundation (PAF).
Prior to setting up a bookstall, the legal entity operating it must complete and sign the official new revised Undertaking with PAF, ensuring compliance with the necessary requirements.
Books will be provided only to registered bookstalls that have successfully completed the new revised Undertaking with PAF. Without this, acquiring books from PAF or any official distributor will not be possible.
Setting up and running a bookstall is a deeply enriching experience, but it also comes with certain responsibilities. To ensure a smooth and meaningful experience for everyone involved, the following guidelines should be followed. Please read the following guidelines carefully.
1. Use of Materials
Guidelines for Using Materials for Display at the Bookstall

Please use only printed materials (posters, banners, standees, bookmarks, pamphlets, canopies, catalogues etc.) provided by the PrashantAdvait Foundation (PAF).

Kindly ensure that Acharya Prashant's name, photo, logo, or signature are not used on any handmade or self-printed materials, as the bookstalls are independent and not affiliated with PAF.

All materials—including banners, posters, standees, canopies, bookmarks, etc.—must be approved via email before printing or display. If any unauthorized materials are used, please ensure they are promptly removed.

To maintain accuracy and consistency, translations of any posters, materials, or content into other languages are not permitted without prior approval.

Quality Considerations
Even when using approved materials, please keep in mind:

Ensure the design and messaging are culturally appropriate, especially if the bookstall is set up near religious places or events.

Messaging should clearly indicate that the bookstall is independently operated and not affiliated with Acharya Prashant or PAF.
Requesting New Designs

For design requests (e.g., posters), you may write to books.outreach@advait.org.in, though submission does not guarantee approval.
2. Media and Public Interactions
To ensure a smooth experience at the bookstall and protect the integrity of this initiative, we request your cooperation in handling media interactions responsibly.
Engaging with Media
-
The bookstall exists solely to make wisdom books available. To keep the focus on that, authorized sellers and volunteers should not engage with media personnel, YouTubers, or influencers without prior organizational approval.

Media interviews—whether at or outside the bookstall—must not be given using the bookstall as a topic, reference, or premise.
-
If approached by any media person, kindly limit discussions to the books and politely decline to comment on Acharya Prashant, his teachings, or the Foundation.
Handling Recording Devices

If someone arrives with a camera or microphone, politely decline permission to film or record at the bookstall. Please remember that even well-intended content can be misrepresented through edits.
Ensuring Safety & Protecting the Mission
-
Staying mindful of media presence helps keep the bookstalls safe and undisturbed.
-
If any unexpected media interaction occurs, please inform the Books Counselling Manager (BCM) via a phone call and report it in your WhatsApp group. Your awareness and cooperation keep the bookstalls focused on their purpose.
3. Volunteer Conduct
-
Volunteers play a crucial role at the bookstall, ensuring its smooth functioning and the integrity of the mission.
-
While PAF facilitates the verification process, the responsibility of selecting, monitoring, and guiding volunteers remains solely with the Authorized Seller (signatory of the Undertaking).
Eligibility & Verification
-
Only engaged and committed volunteers should be involved in the bookstall.
-
The Authorized Seller must ensure that a responsible lead is appointed if they are not physically present at the bookstall.
-
It is strongly recommended to have no more than 5 to 6 volunteers managing the bookstall at any given time.
-
Only volunteers who have been reported to and verified by PAF should be allowed at the bookstall. PAF may request an updated volunteer list from time to time. If any volunteer is deemed ineligible by PAF, they must not be present at the bookstall.
-
Any new volunteer must be reported to PAF before joining, and their inclusion is subject to a basic verification process. Submission of a volunteer’s name does not guarantee verification and recommendation.
Volunteers Actionables
-
Volunteers must understand that the bookstall is for self-growth and service; maintaining the right environment is key to this.
-
They must not claim to represent Acharya Prashant or the PrashantAdvait Foundation (PAF) in any way.
-
They must maintain professional attire, decorum, and a focused presence at all times.
-
Volunteers should avoid personal discussions, controversial statements, or debates with visitors.
-
Volunteers must remain attentive to the behavior of visitors and immediately report any suspicious activity to the stall head.
-
Any inappropriate behavior by a volunteer may lead to the immediate suspension of the bookstall.
Training & Representation
-
Volunteers are expected to attend regular meetings conducted by PAF to stay aligned with the mission and ensure consistent guidance.
-
Meeting schedules and details will be shared periodically.
4. Stall Operations
Responsibilities & Logistics
-
The responsibility for setting up the bookstall, managing book stock, and handling logistics rests entirely with the Authorized Seller.
-
All expenses related to the bookstall—including setup, logistics, and permissions—are to sole responsibility of the Authorized Seller.
Location Selection
-
Select safe and appropriate locations with the necessary permissions from local authorities.
-
Avoid setting up bookstalls in sensitive areas, especially during religious events or in places where local resistance is anticipated.
-
If you are unsure about a location, you may consult with PAF for guidance before proceeding.
-
Under no circumstances should bookstalls be set up in places that are vulnerable to riots or unrest.
-
Always carry essential items such as permission slips, emergency contacts, and a first-aid kit.
-
Prioritize safety at all times. If authorities or circumstances indicate an unsafe situation, immediately pause or cease operations.
Prohibited Activities
-
The bookstall is solely for book-related activities. Volunteers should focus on helping visitors explore the books and should not engage in activism of any kind.
-
Gatherings, marches, or rallies unauthorized by PAF, in or around the bookstall, or under the pretext or context of bookstalls, are not permitted.
-
Distributing unauthorized flyers or collaborating with third parties without prior approval from PAF is prohibited.
-
If you wish to include music, only Kabir Saheb dohas or bhajans may be sung, provided the environment is suitable. If circumstances make it inappropriate, it’s best to avoid singing altogether.
-
Mics, speakers, or amplification devices should not be used for activism or promotional purposes.
-
Respect visitor privacy—do not film or photograph them without their consent.
-
If any volunteer engages in disruptive activities, politely ask them leave the bookstall and report the issue to your BCM.
5. Financial Accountability
Fund Collection:

No donations may be collected in the name of Acharya Prashant or PAF.
-
Any kind of fundraising activities at the bookstall, in the name of the bookstall, or in its vicinity are strictly prohibited.
Transparent Transactions:
-
PAF encourages to follow all financial legalities - including delivering receipts to the buyers.
-
Bookstalls are advised to prefer digital payment methods for transparency.
-
It is recommended that bookstalls assign a designated person to manage financial transactions responsibly.
6. Safety and Crisis Management
Basic Safety Measures:
-
Maintain emergency contacts and establish a clear communication plan for volunteers in case of emergencies.
-
Handle any disturbances calmly and report issues promptly.
-
Be prepared for disruptions such as protests, weather emergencies, or interactions with authorities.
-
Protect books and materials from natural hazards like rain or wind.
Crowd Management:
-
Avoid overcrowding and ensure stalls are well-lit, especially in the evening.
-
Stay vigilant against hooliganism or disruptive behavior near the stall. If any such behavior is witnessed, quietly and quickly relocate the bookstall to a safer area.
7. Data Protection
Visitor Privacy:
-
To respect visitor privacy, volunteers must not collect any personal information, including names, phone numbers, or any other contact details.

If a visitor voluntarily shares their details, kindly inform them that bookstalls do not collect or store personal data.
-
Visitor information must not be used to create WhatsApp groups or for any form of marketing.
-
Any unauthorized collection or misuse of data may lead to the suspension of bookstall activities.
For Interested Visitors:

If visitors express interest in Gita sessions or other offerings, kindly guide them to fill out forms on the official website or app using their own devices.
8. Consent for Activities
Engagement with Institutions:
-
If you wish to set up a stall inside schools, colleges, libraries, cafes, corporate events, concerts, book fairs, or similar venues, prior approval from PAF is required.

Please send a request via email to books.outreach@advait.org.in, allowing 3–4 business days for processing.
-
To avoid any misinterpretation of affiliation, bookstalls must not engage with institutions on behalf of PAF without consent.
Distribution & Intellectual Property Use:

PAF books, images, quotes, videos, or other materials must not be distributed, donated, or gifted at any public or private event—including gatherings, conferences, NGO activities, or community programs—without prior written permission from PAF. Unauthorized distribution may result in suspension of bookstall activities, revocation of book supply, or other necessary actions. Engaging third-party organizations for distribution without prior approval is also strictly prohibited.

Please note that seeking permission does not guarantee approval, kindly do not proceed without consent.
Prohibited Activities:

Rallies, marches, or activism involving Acharya Prashant’s materials are strictly prohibited in any public or private space.

The bookstall must not be used to promote unrelated political or social causes.

Any activity that requires administrative approvals must be undertaken only after obtaining the necessary permissions to avoid legal complications.
9. Compliance and Monitoring
Regular Reporting:

To ensure smooth operations and guidance, the Authorized Seller (signatory of the Undertaking) must inform the Books Counselling Manager (BCM) whenever a bookstall is set up.
-
Once the stall is ready, it is essential to fill out the Bookstall Hosting Form, which will be shared with you by your BCM.
-
Share photos or videos of the bookstall setup and volunteers in your designated WhatsApp group to enable assistance from BCM in case of any challenges.
-
You are encouraged to share reflections, photos, and videos on the Gita Community Feed.
-
For your own planning, prepare and follow a checklist based on the shared guidelines to ensure a safe and effective bookstall setup.
10. Purchase of Books
Where to Purchase:
-
Books for the bookstall must be obtained only through the official online B2B channel provided by PAF or from authorized distributors (a list of which will be shared upon signing the new undertaking).

To maintain consistency, books should not be purchased from any other source, including the PAF retail website, other bookstalls, or online platforms.
-
Distributing/selling or purchasing books to and from other bookstalls without prior approval is not permitted.
Other Authors:
-
Since PAF assets—including books, posters, banners, canopies, and pamphlets—are being used, the bookstall should exclusively feature PAF books. Selling books from other authors or publishers at the same stall is not allowed.

If you wish to include selected books recommended by Acharya Prashant alongside PAF books, prior written approval is required. Please send your request, including the author’s name and book title, to books.outreach@advait.org.in.
11. Use of WhatsApp Groups

Each bookstall should have only one WhatsApp group dedicated to its operations. The details of this group should be shared with the Books Counselling Manager (BCM).
-
The group should strictly be used for logistical discussions related to the bookstall, such as inventory, transportation, orders, equipment, and attendance.
-
It must not be used for personal promotions, fundraising, or any activity that violates the guidelines.
-
The designated BCM will be added as an admin in the WhatsApp group, but only as a silent member to ensure adherence to the guidelines. They will not participate in discussions unless necessary.
-
Please note that it is the sole responsibility of the Authorized Seller (signatory of the Undertaking) to ensure that all group activities comply with the guidelines. The presence of a BCM does not imply automatic approval of all discussions within the group.

For broader discussions related to bookstalls, please use the Gita Community 'Groups' feature instead of WhatsApp.
-
To maintain clarity and alignment, participation in any other WhatsApp groups related to bookstalls—including All-India level groups—is not permitted.
12. Use of Social Media Platforms
Sharing Social Media Account Details

If you or your bookstall have any social media accounts (Twitter, YouTube, Instagram, etc.), please share the details with PAF in the prescribed format at the time of signing the new Undertaking.
-
Additionally, PAF may request information about the social media accounts of volunteers associated with the bookstall as needed.
Guidelines for Social Media Usage
-
Clearly mention in your bio that your bookstall is independently run and not affiliated with Acharya Prashant or PAF.
-
When posting about Acharya Prashant or his books, always include a disclaimer. Example:
"This is an independent initiative to share Acharya Prashant’s books. Not affiliated with Acharya Prashant or PrashantAdvait Foundation." -
Maintain dignity, clarity, and authenticity in all posts.
-
If sharing visitors’ opinions, always obtain explicit verbal and recorded consent before filming or posting.
-
Keep your content focused only on books. Refrain from sharing personal interpretations of teachings.
Vlogs & Interviews
-
You are welcome to post vlogs, but they should focus only on books, the bookstall atmosphere, and personal volunteer experiences—kindly do not state any affiliation with PAF/Acharya Prashant directly or indirectly.
Ethical Conduct
-
Use respectful and polite language in all interactions. Be mindful of cultural sensitivities when recording and posting content.
-
If you come across misleading accounts falsely claiming affiliation with PAF/Acharya Prashant, kindly report them.
Prohibited Social Media Practices
-
Personal or bookstall-related social media accounts must not claim official representation or affiliation with PAF/Acharya Prashant.
-
Do not share private contact information (phone numbers, personal emails, etc.).
-
Kindly do not post content in the context of bookstalls that engage in controversial, political, or sensational debates.
-
If any social media account violates these guidelines, it may be suspended immediately.
Ultimately, you are fully responsible for the content you share through bookstall-related social media accounts and will be held accountable for any violations.
13. Group Communications Using Meetings (Google Meet, etc.):

For coordination of bookstalls, you may hold meetings amongst the group members. Please ensure to keep all conversations strictly about the bookstall and its management.
-
Kindly note that Authorized Seller (signatory of the Undertaking) is fully responsible for all such meetings and the contents of discussion.
14. Guidelines on Meetings with Books counselling manager:
-
Meetings will be scheduled at fixed intervals with your designated Books Counselling Manager (BCM).
-
All volunteers at the bookstall should attend these meetings.
-
The meetings will focus on training the volunteers for the bookstall and providing a space to discuss any questions or concerns raised by the bookstall teams.
-
Further details on these meetings and schedules shall be shared in future.
15. Guidelines about Mis-representation:
-
As you know, bookstalls are your own Independent projects and are not operated by or affiliated with Acharya Prashant or Prashant Advait Foundation, kindly do not make any communication on the bookstall which could be misused or misinterpreted as coming from PAF/Acharya Prashant.

The bookstall and its responsibilities are under your care. Acharya Prashant and PrashantAdvait Foundation are not involved in the following and should not be considered responsible for:
(a) The actions of any volunteer or bookstall representative.
(b) Any conversations or communications that take place at the bookstall.
(c) Any activities conducted at the bookstall, such as bhajans, plays, or pamphlet distribution.
16. Processing of Order for Acharya Prashant Books

Going forward, you can place bulk orders for books to set up bookstalls directly through our official online B2B website and or through.
-
An online account will be created for this purpose, and the process for account creation will be communicated once the new revised Undertaking has been signed.
-
Orders can only be placed from within India and will be delivered exclusively to addresses within Indian borders. Please also note that orders from deliveries to non-serviceable postal codes may be delayed/cancelled/lost. PAF will not be responsible in such instances.
-
PAF follows a no-reshipping and no-refund policy for books. However, in case of a genuine grievance, the buyer must notify via email within 48 hours of delivery regarding any deficiencies, such as damaged or missing books, along with valid proof. In such cases, the decision by PAF shall be final and binding.
-
In exceptional cases, an order may be canceled even after receipt of the contribution. If such a situation arises, you will be promptly informed, and necessary steps for resolution will be taken.
17. Suspension of Bookstall
If any of the specified rules, regulations & guidelines are violated, false or misleading information is provided, or inappropriate behaviour is observed, your permission to set up and operate bookstalls may be suspended immediately.
During the suspension period:
-
You will not be allowed to sell books or carry out any activities related to the bookstall (which includes, but is not limited to, displaying banners, posters, or any other materials, distributing pamphlets, or engaging with colleges/institutions for book sales or donations).
-
You cannot operate as a bookstall in any private or public space under any circumstances during the suspension period.
-
PAF reserves the right to block your B2B online account, cancel pending orders, or suspend book supplies if necessary.
In such a case, you will receive an official email from PAF, allowing you to provide an explanation regarding the violation. PAF will carefully review all information before making a final decision, which will be binding.
18. Signing of the New Revised Undertaking
To continue placing books orders and setting up bookstalls with Acharya Prashant's books, signing the New Revised Undertaking with PAF is mandatory.
By signing this agreement, you:

Acknowledge and commit to following all the rules and regulations outlined above.
-
Ensure that all volunteers involved in the bookstall are fully aware of these guidelines.
-
Submit all necessary documents and declarations as specified in the Undertaking Email via email.
-
Receive confirmation from PAF only after completing all formalities successfully.
Compliance & Submission Requirements:
-
A complete and accurate response, including all required documents, must be submitted within 3 days to allow for processing, account setup, and approval.
-
Failure to submit the necessary documents or submitting incorrect/incomplete information will result in the agreement not being accepted, thereby restricting your ability to place book orders or operate bookstalls.
Transition Period & Compliance:
-
The previous Undertaking is now null and void, and all bookstall activities must align with the new agreement. However, a 15-day transition period is provided for compliance.
-
If the new Undertaking is not signed and submitted within 15 days, it will be assumed that you no longer wish to continue bookstall operations or place book orders.
-
Any bookstall activity or book distribution beyond this period, without signing the new agreement, will be considered unauthorized and subject to legal consequences under copyright law.
ANNEXURE 2
DECLARATION
I, ____________, authorized representative of the __________, have given the undertaking w.r.t the purchase/supply of books with the PrashantAdvait Foundation [PAF]. In terms of the said undertaking, I am providing the following details to the Foundation:

I have formed the WhatsApp group for the purpose of logistical reasons of doing the necessary work under the agreement. I undertake to run the said WhatsApp group in a legal manner and the Do’s and Don’ts as provided by the PAF will be adhered by all the members of the group, in case some member violates the same them I will take necessary actions not limited to removing him/her from the group.

Presently I am running/managing the following social media accounts and in none of the social media accounts I claim any association (directly or indirectly) with the PAF. In case, I have claimed any association (directly or indirectly) with PAF through any of the content in any of my social media accounts. I undertake to remove the same immediately and I am providing the details of all such accounts to PAF.

I also declare that I will not show any association with the PAF in any manner whatsoever and I also declare that I will not take any engagement either in online medium or through offline mode in the name of PAF without taking prior approval for the same from the PAF.

I undertake to provide the details of all the volunteers of the PAF who will help at the bookstall. I will also provide the volunteers with fair treatment and I will treat volunteers with respect and dignity.

I undertake to use the canopies, banners, pamphlets, posters in the stall in the same format, design etc. As provided by the PAF and I also undertake that I will not modify the same in any way.

I undertake to provide photos of all designs of the canopies, banners, pamphlets, posters being used in the stall. In case, they are found to be unacceptable, I undertake to discontinue their use and only use the designs approved by the Foundation. I further state that mere approval of the designs of the canopies, banners, pamphlets, posters by PAF will not be an acceptance to use the same. That the use of the canopies, banners, pamphlets, posters etc. would be as per my discretion depending upon the situation prevailing at the place where store/stall has been set up including but not limited to the awareness and beliefs of local population, religious beliefs, religious events etc.
